About Our Client

My client is seeking a Bid Assistant to join its Business Development team based in Sheffield. Hours of work are 9.00am to 5.00pm, Monday to Friday, 35 hours per week. However, you will be required to work such hours as are necessary to carry out the duties of the role. There will be an occasional requirement to work outside the core hours and at weekends. Reporting to the Bid Manager, you will be responsible for providing a proactive support to pitch activity across the business groups.

Job Description

  • Co-ordination and development of pitch documents, expressions of interest,pre-qualification questionnaires, requests for information and capability statements including:
    • Creating base documents in house style, where appropriate
    • Sourcing experience, credentials, CVs and other content where required from the firm's pitch systems, BD teams, fee earners and partners
    • Developing and editing pitch content as part of pitch document production.
  • Liaison with other departments including Risk and Finance on areas such as T&Cs and conflict checks to ensure pitch compliance.
  • Monitoring and circulation of pitch opportunities, including daily trackers for public sector and monitoring of key media for tender adverts and notifications.
  • Maintenance of pitch systems (Proposal Generator), including:
    • Data entry of captured information on pitches
    • Editing and amending records.
    • Chasing and closing down pending items.
    • Uploading final submissions and feedback.
    • Maintenance of standard content - editing/revising when changes dictate (eg office locations).
  • Ensuring feedback is recorded for continuous improvement.
  • Managing the CV processes in the firm (new starter requests, developing alternative CVs).
  • Developing and compiling suite of reporting on pitches eg win rate reports, annual summaries, pitch reports for Executive.
  • Supporting development work to improve our pitch systems and processes.
  • Supporting firm-wide communications on pitch projects and best practice, eg updating the Tender Toolkit on our intranet
  • Development and maintenance of our record of legal panels (Legal Panel Register).
  • Servicing our Crown Commercial Services (CCS) contract requirements, eg such monthly reports.
  • Point of Contact with Pitch System Developer (TRE) on system failures, patches and service requests

The Successful Applicant

Essential

  • Experience of working in a professional services environment and a law firm is desirable.
  • Approximately one year spent within a pitch or bid function in professional services firm, or tenders/procurement function in other sector.
  • Adopts a proactive approach to planning and prioritizing, predicting likely workflow patterns and taking positive action to manage them.
  • Resilient and able to work effectively under pressure.
  • Self-managing, creates own measures of success
  • Strong IT Literacy, including:
    • Word - to a high standard with particular competence in using styles
    • Excel - to a good standard to include data manipulation and analysis
    • PowerPoint - to a good standard, including graphical imagery such as structure charts and flow diagrams
  • Good communication skills, both written and verbal, and able to professionally communicate to the highest level of seniority
  • Excellent grasp of English language and grammar, highly accurate, an eye for detail and ability to proof read.



Desirable

  • Educated to degree level or other relevant qualifications such as CIM
  • Knowledge of project management methodologies
  • Proactively acquires new or different knowledge to enhance awareness of best practice and new techniques in tenders
  • Knowledge of HTML and content management systems, eg SharePoint
  • Knowledge photo editing and basic graphics packages
