Job Description

  • Responsible for the planning, coordination and delivery of all festival activity throughout its annual cycle, as curated by the Festival Directors;
  • Set and manage regular festival team meetings for the effective coordination of all aspects of festival preparation, planning and delivery;
  • Management and monitoring of the festival programme budget;
  • Oversee booking of artists and specialist freelance staff, issuing contracts and agreements;
  • Responsible for day to day liaison with authors and their PR's, ensuring that excellent relationships are sustained with all artists and that their practical requirements are met, e.g. accommodation, transport, visa logistics;
  • Responsible for booking venues and day to day venue liaison with a wide range of local venues, working closely with the Technical Manager;
  • Responsible for liaison with artists and venues in relation to fees and charges;
  • Ensure the provision of timely information about the programme and artists to support marketing, PR and sponsorship activity including collation of photographs, text and other information;
  • Line manage/coordinate the work of the Research Assistant, Production Assistant and periodic volunteers;
  • Oversee the day to day festival production and delivery, services and hired crews to ensure the smooth running of all events and activities including overseeing the overall festival team, all freelancers, e.g. Technical Manager, Volunteer & Box Office Manager and volunteer staff activity;
  • Play an active, collaborative role as a key team member, working flexibly to meet all festival deadlines.

The Successful Applicant

  • Minimum 4 years' experience in a relevant/related field;
  • Numerate, accurate and with strong attention to detail, proficient in using Microsoft Office applications and the organisational ability to manage and prioritise a busy workload to meet tight deadlines;
  • Graduate or higher level qualification/or equivalent work experience;
  • Previous experience of planning, coordination and simultaneously running multiple activity strands in a high pressured and dynamic environment;
  • Solid planning skills and the ability to juggle a busy workload in order to meet tight deadlines;
  • Ability to monitor multi-strand project budgets;
  • First class planning and project management skills;
  • Excellent coordination and people management skills, with proven ability to line manage staff, freelancers and volunteers;
  • Meticulous attention to detail, able to see through an activity to completion;
  • Good time manager, able to prioritise their own and others' workloads across a number of strands;
  • Excellent communication skills, with ability to relate well to a wide spectrum of individuals of different backgrounds, in writing and in person;
  • A self starter with high self motivation;
  • A practical thinker; able to deliver and act on their own initiative;
  • Flexible, enthusiastic, versatile, dependable;
  • Proactive, tenacious, innovative and determined;
  • Ambitious. Keen to work in a fast, dynamic, growing organisation;
  • Able to work flexibly, working out of hours, particularly during the festival period;
  • Negotiating experience or ability;
  • Excellent software skills, PC literate to a high standard.
