Job Description

Global Projects & PMO Manager - Heidrick & Struggles

With the fast-growing Leadership Consulting business, and a need to establish a common core approach to project management and use of systems across the business, the need for a Global Project & PMO Manager has arisen. Reporting directly into Global COO for the LC business, the successful person will be expected to:

  • Establish and implement our common approach to project management to ensure accurate deliverable tracking and financial management / reporting. Ensure accurate integration to financial and pipeline reporting
  • Ensure compliance in line with accounting requirements
  • Provide thought leadership for H&S best practice project manage and build our global capability
  • Manage and develop the team of project coordinators in London and provide professional guidance to the global teams aligning across a single integrated tracking and reporting approach
  • Manage complex large projects to deliver exceptional client results profitably

Main Focus and Challenges

Determining and ensuring the implementation of a core set of project management systems and processes that serve the LC business well and also satisfy the H&S group requirements. Examples specifically include

  • Project mobilization
  • Program governance processes and frameworks
  • Risk, issue and change tracking and escalation
  • Planning and dependency management
  • Resource allocation
  • Pipeline management,
  • Financial & Project tracking including WIP management

Standard setting

  • Work with all stakeholders to set, document and implement a core set of systems and processes around:

Pipeline management

  • Project management; planning; governance; roles and responsibilities; processes; issue, risk and change tracking; resource allocation (in project)
  • Financial tracking of projects including WIP management
  • Clear contracting with consulting team and associates team to enable rapid mobilization of teams on engagements
  • Establish clear roles and accountabilities within those processes and integrate with consulting team and associate community
  • Ensure that processes satisfy both the needs of the LC business but also the H&S Group - and that they are implementable on the current and future systems. This includes financial compliance for invoicing and revenue recognition, as well as, pipeline reporting
  • Work with training and other firm functions to ensure that processes are well understood and documented
  • Establish go to library for all standard templates, methods and outputs - working directly with the global Knowledge Manager
  • Establish learning processes to enhance future engagements

Line management - local team

  • Day-to-day management of cadre of London-based project coordinators and administrator, including workload balancing, issue resolution and team management
  • Driving review and evaluation processes, including agreeing personal development plans
  • Regular developmental and coaching conversations

Global responsibilities

  • Ensure standard systems and processes are understood and being followed globally to the extent necessary to ensure control of the business and accuracy of our management information
  • Educate partners, principals, consultants, analysts and associates in the approaches and benefits to the projects to ensure best practice is understood and used to our competitive advantage.
  • Enable faster mobilization, project management and accurate reporting of our closed , live and potential projects
  • Establish global best practice for project management and leading from London and rolling out to the rest of the world. As part of the setting of systems and process standards, there will be some education, training and ensuring compliance of standards followed elsewhere around the world to ensure we are accurately managing and tracking projects

The Successful Applicant

Technical Skills

  • Complex, large-scale program management skills
  • Prince 2 certification
  • Fluency in all Microsoft Office products; and expertise in Microsoft Project
  • Strong organizational skills and ideally some knowledge management skills (as a user not a designer or knowledge manager).

Personal Characteristics

  • Have excellent verbal and written communication skills, the ability to develop and deliver persuasive presentations, and strong facilitation skills
  • Ability to reconcile apparently conflicting demands of senior stakeholders
  • Ability to simplify complex programmes to highlight key issues for escalation
  • The ability to lead and motivate others in a fast paced, client focused environment
  • Be fair-minded, open-minded, objective and a good listener
  • Be a proven self-starter who effectively manage and coordinate the activities of multiple projects simultaneously
