Contracts Administrator

This role includes:

• Contracts administration for International Licensing, including:-
• a) file management
• b) liaising with various internal departments to ensure internal licensing processes and procedures followed (such as corporate approvals) and adequate instructions received by Legal
• c) input, update and maintenance of databases
• d) checking incoming draft licences to ensure they reflect commercial terms provided by internal business contacts and liaising with those contacts to resolve any discrepancies
• e) conducting preliminary legal review of licences under supervision of Licensing Director
• f) assisting Licensing Director in preparing and reviewing revised drafts and memos of advice
• g) drafting simple contract amendments, confidentiality agreements, consent letters and other simple agreements based on Hasbro precedents
• h) preparing instructions for US Legal regarding the administration of agreed licenses for execution, processing, and general administration
• is) follow up on files (including sending periodic chasers) to expedite contracts and prioritisation of work
• j) preparation of accurate contract summaries
• k) utilising databases and reviewing files to keep business contacts updated on contract status and field and answer general queries regarding contract progress

• Reviewing contracts and liaising with Licensing Director with respect to interpreting and advising on rights granted and to answer queries from commercial staff (including in connection with licensing audits).

• Assisting with update of licensing precedents and training of business units on areas relevant to Licensing

• Supporting Licensing Director in relation to licensing disputes including assistance with,
• a) drafting of Letters Before Action
• b) preparing Instructions for external counsel
• c) litigation case management (including costs management)
• d) drafting of settlement agreements (including audit settlements)

• Secretarial and legal assistance for other matters handled by Licensing Director

• General administration / secretarial support to cover post, booking travel, processing invoices and expenses, telephone/email enquiries, arranging meetings and conference calls, filing, diary management etc.

Who we're looking for
The suitable candidate will:

• Have a high standard of literacy & Numeracy
• Have previous admin /secretarial working knowledge including familiarity with generating legal documents
• Have a working knowledge in contracts administration
• Be an excellent communicator & have interpersonal skills
• Ability to prioritise
• Ability to produce written reports which are clear, logical and persuasive.
• Good Word, Excel and PowerPoint
• Detail oriented, accuracy & evidence of working to high standards
• Adaptability and flexibility
• Detail handling and accuracy
• Driving for quality
• Setting up and using monitoring systems to regulate activities
• Evidence of collaborative working style
