Team Administrator for a Funky and Dynamic Media Company

Our funky and buzzing clients in advertising are looking for an Administrator to join an ever expanding team and truly excel within the team and the company. The team are responsible for managing over 35 events per year and we are looking for someone who works on their own initiative, loves admin, is self-motivated, demonstrates excellent office skills and takes pride in setting up systems and keeping a team organised.

Responsibilities will include general office duties, setting up systems for archiving and recording event material, setting up spreadsheets to monitor event figures, as well as ensuring that all essential event supplies and admin systems are maintained. The role involves:
• Collate weekly event figures and monthly event KPI spreadsheet for Head of Awards.
• Set up and manage system for archiving events material.
• Manage office supplies and suppliers including cabs and stationery.
• Booking meeting rooms and diary management for Head of Awards.
• Ensure databases, systems and operational skills are kept up to date and developed.
• Work with the accounts team to ensure all invoicing is up-to-date.
• Manage the order and supply of stationery for Awards Team and check basic supplies in stock.
• Attending and working at events as required.
• Producing PowerPoint presentations.
• Organising internal meetings.
• Organising travel and hotel bookings.
• Organising event insurance for all awards.
• Monitoring and managing expense claims.
• Maintaining holiday and sickness records.
• Maintaining personnel records including dates of reviews and appraisals.
• Taking minutes at meetings and typing/distributing notes.

- Good Microsoft Word, Excel and PowerPoint skills.
