Job Description

· Warmly welcome all visitors, notify relevant contacts, and seat guests appropriately.

· Coordinate with the catering team to offer refreshments and ensure meeting rooms are stocked with water and glasses each morning.

· Answer/direct calls from the main switchboard, taking messages as needed.

· Receive deliveries and ensure they reach the correct recipient.

· Manage meeting room and video-conference bookings, liaising with IT for VC setup (training provided).

· Support visiting consultants by arranging workspace and hospitality.

· Handle bookings for couriers and taxis, and manage supplier invoices, ensuring correct account allocation.

· Always maintain a tidy and professional reception area.

· Assist the catering team by clearing meeting rooms during busy periods.

· Provide support to Executive Assistants when capacity allows, including travel bookings, expenses, and event preparation (training provided).

· Maintain an up-to-date reception manual detailing all procedures.

· Coordinate ad-hoc events, including scheduling corporate photography for new joiners.

· Train EAs on reception tasks to ensure adequate cover when needed.

· Support onboarding and training of new reception staff.

· Liaise with main building Reception and Security Desk on visitor-related matters.

· Work with the Facilities Manager and building management on maintenance and security issues.

· Proficient in Microsoft Office.
