Job Description

1. UKVI Compliance: To be the lead person within the Senior School and Prep School handling all aspects of our UKVI compliance:

● To ensure that new pupils admitted to the School are permitted to study in line with UKVI regulations.

● Issue CAS to prospective pupils in a timely and efficient manner, liaising with the Admissions Manager.

● Management of UKVI Sponsor Management System as a Level 1 user, acting as key point of contact for UKVI.

● Supervise all aspects of international pupil registration (via the Child Student and Student Visa routes) including: receipt of Biometric Residency Permits (BRP), ensuring collection of BRPs is in compliance with UKVI security protocols, scanning and retaining copies of all appropriate documents.

● Personally handle any challenging visa cases, liaising with Admissions colleagues, house staff, pupils and their families as well as acting as the key interface with UKVI.

● To assist pupils with the renewal of visas and escort them when required to premium service appointments, providing a flexible and responsive service to pupils and house staff.

● Liaison with house staff to disseminate relevant immigration information and guidance, advising them on individual cases where there are complicated immigration circumstances, as well as house systems to support the Trust's compliance.

● Monitor pupil movements in relation to arrivals and departures at the start and end of each term as well as monitor attendance of international pupils throughout the term and report on the SMS within the 10 day time limit.

● Ensure adequate licences are in place and monitor the level of CAS issued against the annual allowance, communicating regularly and effectively with UKVI and relevant staff within the School.

● Ensure that staff and pupils have the appropriate visas for overseas school trips.

● Take a lead role in preparing for UKVI inspection, including implementing recommendations of preparatory audits.

● Ensure that all staff requiring a Tier 2 visas are dealt with, liaising and advising the HR and summer school team.

● Regularly run reports to identify those pupils with soon to be expiring visa/passports and contact them as appropriate.

● Adopt a proactive approach to ensuring that safeguarding responsibilities with regard to Tier 4 pupils are adhered to, liaising with colleagues including boarding staff, Director of Safeguarding and social services, where required.

2. To develop policies and procedures to ensure compliance with UKVI requirements

● Co-ordinate, develop and implement policies and systems on pupil documentation, ensuring compliant record keeping in relation to UKVI requirements.

● Adopt a proactive approach to implementing enhancements to processes and disseminate to colleagues as required.

● Oversee preparations for UKVI compliance inspections

● To update the Trust's UKVI Compliance Policy and ensure any key regulatory changes are reflected within the Admissions Policy.

3. To ensure accurate record keeping in accordance with UKVI requirements

● Supervise the database of Tier 4 pupils to ensure that all pupils have the relevant and up-to-date visas, guardian and other information required by the Home Office.

● Collate and record all information required as part of our Tier 4 UKVI sponsor status, including ensuring that all visa, CAS and passport information is kept up-to-date.

● Ensure appropriate record keeping is in place across the School in relation to attendance, travel, guardians' contact details and holiday supervision arrangements.

● Maintain an accurate database of live agents as well as records of agent contracts.

● To provide a dashboard of information detailing the status of CAS applications during the Summer Term, in order that the Registrar/Director of Admissions can monitor progress.

4. Provide high-level advice, guidance and interpretation of the School's responsibilities in relation to UKVI and undertake appropriate training

● Take personal responsibility for ensuring information regarding regulations (including any changes) to UKVI regulations are cascaded to other staff including UKVI registered staff and boarding staff.

● Undertake training and development as required in order to keep abreast of regulations and developments relating to external compliance.

● Lead on the provision of guidance and training for relevant staff within the Trust relating to UKVI regulations and the expectations placed on the School as part of its sponsor status.

● Provide guidance to parents and agents on individual cases as well as more broadly if called upon.

The Successful Applicant

- Experience of working with UKVI, including using the UKVI SMS system on a regular basis

What's on Offer

Annual Salary: £36,000

The appointment is permanent

30 days' holiday entitlement per annum (5 of which to be taken at Christmas), plus public holidays

Your normal working hours will be 40 per week, with the option of flexible working
