About Our Client

Our client is a well-established organisation within the Retail industry, looking for an Accounts Administrator based in West Byfleet. They operate as a small-sized company, fostering a structured and professional working environment.

Job Description

  • Follow all required manufacturer programs, policies, procedures, and processes.
  • Handle invoicing tasks, including creating and entering invoices/credit notes, invoicing against purchase orders, managing warranty credits, and maintaining supplier accounts.
  • Manage tills, floats, petty cash, receipts, daily banking, and all related reconciliations.
  • Process BACS payments, prepare cheques, complete monthly payment runs, and manage staff expenses.
  • Reconcile supplier statements, ensure invoices are paid on time, and verify customs duty when applicable.
  • Complete VAT returns, funding reconciliations, stock reconciliations, and investigate any discrepancies.
  • Maintain an organised filing system and provide administrative support to management when required.
  • Prepare documentation for motorcycle handovers, profit sheets, and end‑of‑day reports; safely manage motorcycle keys.
  • Organise registration plates for sold motorcycles and upload required information to online systems.
  • Order office supplies and handle general administrative duties as needed.
  • Provide excellent customer service and represent the brand professionally at all times.
  • Use internal and external software systems proficiently and maintain clean, well‑organised work areas.
  • Communicate effectively with all departments and external partners; attend team meetings.
  • Support dealership events on‑site and off‑site, contribute creative ideas, and assist with social media content.
  • Record accurate customer data in line with GDPR and manage time effectively.
  • Support other departments when needed and participate in all relevant training.
  • Demonstrate ongoing enthusiasm and passion for the brand and its products.



The Successful Applicant

  • Previous experience in a similar role within the accounting and finance sector.
  • Strong knowledge of financial systems and accounting principles.
  • Excellent attention to detail and organisational skills.
  • Proficiency in relevant accounting software and Microsoft Office tools.
  • The ability to work independently and meet deadlines effectively.
  • Strong communication skills to liaise with internal and external stakeholders.
  • A proactive approach to problem-solving and process improvement.
