Job Description

  • Maintain a professional and welcoming service, ensuring a positive experience for all stakeholders.
  • Produce and maintain reports, statistics, and records using a range of administrative systems and databases.
  • Provide guidance on student administration processes, including programme registration, module selection, and changes to study options.
  • Coordinate student record updates and programme changes, liaising with academic and professional services colleagues as required.
  • Support the allocation and administration of student support and advisory arrangements.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Ensure administrative processes are delivered effectively, meeting agreed service standards and deadlines.
  • Identify and escalate any issues relating to compliance, policy, or procedural requirements.
  • Provide administrative and secretarial support to senior staff and committees as required.
  • Assist with the organisation and administration of events, seminars, lectures, and other academic activities.
  • Maintain accurate databases, contact lists, and departmental records.
  • Support colleagues across wider teams during periods of absence or increased workload, contributing to the smooth running of operations.
  • Undertake additional administrative duties as required to support departmental objectives.

The Successful Applicant

A successful Administrative Assistant should have:

  • Strong organisational and time management skills to handle multiple tasks effectively.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent communication skills, both written and verbal.
  • A proactive attitude and the ability to work independently as well as part of a team.
  • Attention to detail to ensure accuracy in all administrative tasks.
  • Previous experience in a secretarial or administrative role within a professional setting.
  • Ability to commute to Liverpool.
