We are seeking an experienced Administrator, ideally with a background in Financial Services, who is confident working within established processes and procedures. The successful candidate will be proactive, organised, and comfortable engaging with stakeholders at all levels across the business. The role will primarily focus on W8BEN form administration, alongside supporting the wider Client Services team with day-to-day servicing requirements.

Job Description

W8BEN Administration

  • Pre-populating W8BEN forms using data from CRM and Nexus systems
  • Liaising with Investment Managers to confirm approval to issue forms (via DocuSign or post)
  • Maintaining and updating a tracking spreadsheet to monitor progress and returns
  • Collating completed forms and ensuring accurate record keeping
  • Engaging with external third parties regarding any forms received or sent
  • Ensuring all documentation is processed in line with internal procedures and regulatory requirements

Client Services SupportSupporting the wider Client Services team with daily servicing requests, including:

  • Processing cash payments
  • Sending out client valuations
  • Handling inbound external calls and directing them appropriately
  • Providing reception cover when required
  • Assisting with general administrative tasks to ensure smooth team operation



The Successful Applicant

  • Strong administrative experience
  • W8BEN experience desirable (strong advantage)
  • Experience within Financial Services (preferred)
  • Strong attention to detail and organisational skills
  • Ability to work independently and use initiative
  • Confident communicator, comfortable engaging with stakeholders at all levels
  • Ability to manage multiple tasks and prioritise effectively
  • Proficient in Microsoft packages Excel/Word etc.
