Our client is an alternative investment management business preparing to launch a new private capital fund alongside an established operating platform. With significant growth ambitions and institutional backing, the firm is building the infrastructure required to support fundraising, investor activity and long-term scalability.

Job Description

This is a broad and highly visible operations position where you will become the central point of coordination across the fund's operational ecosystem.

Key responsibilities will include:

- Own the end-to-end investor onboarding process: manage the fund administrator's KYC and subscription workflow, set and enforce service standards, resolve escalations, and run the closing process operationally at each closing date.

- Own the fund's obligations framework: build and operate the register of regulatory filings across all active fundraising jurisdictions, side letter obligations, and fund document deadlines, and ensure every obligation is met on time by the responsible party.

- Manage the service provider network day to day: fund administrator, depositary, corporate administrator, counsel, auditor and banks, including service review, escalation, fee and engagement oversight, and being the fund's primary operational counterparty to each.

- Run capital events operationally: coordinate capital calls and distributions from initiation through LP funding, ensuring notices, calculations (reviewed by the Fund Controller) and side letter requirements are correctly handled.

- Own the production process for quarterly investor reporting: source vessel-level and commercial data from the operating platform, financial data from the administrator, and deliver a complete, verified pack to agreed timetables for the Head of Investor Relations (narrative) and Fund Controller (financial sign-off).

- Run governance operations for the general partner and the investment manager: board meeting cycles, pack preparation, minutes and resolutions, statutory and regulatory filings, working with the corporate administrator.

- Own the data room and the fund's operational response to investor due diligence: process documentation, provider information and operational questionnaires, delivered through the Head of Investor Relations.

- Design and document the fund's operating procedures from launch.This is not a traditional fund administration role. The successful individual will be expected to take ownership, drive outcomes and operate across both strategic and day-to-day matters.

The Successful Applicant

We are keen to speak with candidates for the Fund Operations Manager role who can demonstrate:

  • Experience within a fund, investment manager, private equity, private credit, infrastructure, real assets or alternative investment environment. At this stage we are only considering candidates from these backgrounds.
  • Someone used to working in small team environments or start up funds would be deemed a good fit
  • A broad understanding of fund operations, investor onboarding, governance and service provider management.
  • Experience working with fund administrators, legal advisers, auditors and other external providers.
  • A track record of improving processes, implementing controls or building operational frameworks.
  • Strong stakeholder management skills and the confidence to engage with senior internal and external counterparts.
  • The ability to work autonomously, prioritise effectively and thrive in a fast-paced, entrepreneurial environment.

Senior fund administration professionals looking to move in-house may be considered further down the recruitment process, but only if they can demonstrate strong ownership, commercial awareness and stakeholder management capabilities.
