Job Description

  • Provide friendly, professional front‑of‑house reception services, greeting residents, visitors and contractors
  • Act as a first point of contact for tenant queries, including repairs, damp and mould, access needs and follow‑up questions
  • Log repairs accurately and schedule work for in‑house operatives and external contractors
  • Manage appointment calendars and diaries, ensuring efficient use of available time slots
  • Support residents in booking inspections, surveys, compliance checks and post‑works visits
  • Maintain accurate communication logs and databases
  • Handle calls, emails and walk‑in enquiries with empathy and professionalism
  • Assist with general admin including invoice support, trackers, reports and documentation
  • Monitor progress of works and follow up where necessary to ensure completion
  • Collaborate with the property services team to support smooth day‑to‑day operations

The Successful Applicant

A successful Receptionist should have:

  • Experienced in front‑of‑house, reception or high‑volume customer service roles
  • Background in housing, property, repairs or scheduling (essential)
  • Confident scheduling operatives, managing diaries and coordinating contractors
  • Strong communication and people skills, with the ability to remain calm and helpful
  • Comfortable dealing with sensitive issues such as damp, mould and disrepair queries
  • Excellent attention to detail, with strong administrative discipline
  • Proficient in Microsoft Office, especially Excel
  • Positive, solutions‑focused and able to manage competing priorities
  • A team player with empathy, resilience and a commitment to resident service
