Job Description

The post holder will provide comprehensive operational and administrative support to the Digital and Technology Group, supporting the wider Senior Leadership Team (SLT) in operational and strategic activities to ensure that all projects and other activities deliver to time. The post holder will provide a secretariat function to the SLT, providing diary management for DTG business/staff meetings and a range of other meetings and initiatives as required, ensuring accurate minutes and allocation and tracking of actions. In addition, the post holder will be responsible for managing the work coming into the SLT's wider office to ensure timely allocation across all members and will support the business in preparing draft presentations.

The post holder will be responsible for supporting the tracking of work across the DTG to support the Deputy Directors in defining the objectives, activities, and monitoring milestones and performance, and will play a key role in governance and working with stakeholders, to support the business in ensuring the agreed outputs are delivered to enable benefits to be realised. 

The post holder must have the organisational skills to balance a varied range of tasks and requirements to ensure successful delivery. They should have an understanding of the fundamentals of project management and if not experienced, a willingness and aptitude to learn. 

The post holder will be required to develop a good understanding of the work of DTG within the Agency and may be required at times of peak demand to take on grade appropriate work from that wider team, including out of hours work on occasions. 

Key responsibilities:

  • Perform diary management activities for the SLT including but not limited to: diary/calendar management and coordination, booking internal/external meetings, liaising directly with a wide range of internal and external stakeholders to prepare agendas and professional presentations, coordinating the complete and on-time delivery of briefings, and serving in a front door 'gatekeeper' role for the SLT.

  • Secretariat for SLT, external and ad hoc meetings as required. This includes coordinating a programme of work for DTG and other meetings to ensure key functional work is communicated and to ensure outputs from the meetings are implemented.

  • Co-ordinate administrative work such as monthly reports, as well as sponsor team and ministerial commissions etc, by tracking progress and ensuring timely delivery.

  • Support project and operational activities including progress tracking coordinating completion of key deliverables, stakeholder management, organisation and prioritisation of key actions.

  • Support the Deputy Directors to in the delivery of work plans across the group to support key activities and track adherence to the agreed timelines.

  • Support the work of the DTG Divisional Business Officer, providing cover during periods of staff absence.

What's on Offer

£37,456-£42,084 per annum. + excellent benefits 

Hybrid working pattern

Staff joining on promotion will receive up to a 10% increase of their current basic salary, or the pay band minimum, whichever is the greater.

The individual will not retain any allowances paid by the former department/Agency, unless there are special circumstances, such as a reserved right to those allowances on transfer.
