Job Description

  • Serve as the primary contact for visitors and callers, ensuring a professional and welcoming reception area.
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate departments efficiently.
  • Maintain accurate records of visitor logs and appointments.
  • Assist with administrative tasks, including data entry and document preparation, as required.
  • Coordinate meeting room bookings and ensure facilities are prepared for use.
  • Provide general information and guidance to visitors regarding services.
  • Ensure the reception area is tidy and presentable at all times.
  • Support the wider Secretarial & Business Support team with ad hoc tasks when necessary.



The Successful Applicant

A successful Customer Service Officer (Reception based) should have:

  • Previous experience in a reception or customer service role, ideally within the public sector.
  • Strong customer service skills with a professional, friendly, and approachable manner.
  • Excellent communication and interpersonal skills, with the ability to handle sensitive enquiries with tact and discretion.
  • Experience engaging with a wide range of stakeholders, including members of the public.
  • The ability to assess customer needs, provide accurate information, and resolve queries effectively.
  • A proactive and self-motivated approach, with the ability to work independently and use initiative.
