The role provides wide‑ranging support to the General Counsel across governance, contracts, litigation, data protection, and compliance matters. It requires strong organisation and autonomy to manage registers, trackers, key legal workflows, and administrative tasks in a fast‑paced in‑house environment.

Job Description

Company Secretariat (CoSec) and Board Support

  • Manage and maintain the conflicts of interest, directorships, IPR and PoAs registers,
  • Manage board meetings calendar
  • Assist with preparation of board minutes and minute book
  • Maintain corporate files.
  • Answer KYC queries.
  • Assist the General Counsel and in-house CoSec team with other governance and compliance tasks.

Contracts Management

  • Assist the legal team with contracts management cycle and NDAs.
  • Manage the contracts register and maintain accurate records.
  • Maintain files for key supplier and customer contracts.

Litigation Support

  • Assist the legal team with litigation matters.
  • Maintain litigation register and calendar.
  • Organise bundles and update case files.

GDPR, Insurance, Risk, Compliance and Other Legal

  • Manage the register of leases and calendar.
  • Support with ROPA (Record of Processing Activities).
  • Support in maintaining oversight of legal work and external law firm instructions.
  • Maintain the data breaches tracker.
  • Maintain legal spend tracker.
  • Renew data certificates and manage ICO registrations.
  • Assist with legal aspects of risk register and business continuity.
  • Manage the insurance tracker (liability cover caps).
  • Develop and maintain the insurance claims register.
  • Assist with ESG policy maintenance and renewals.
  • Support preparation of annual anti-slavery statement.
  • Manage gifts register and charitable contributions register.
  • Assist the General Counsel and Senior Counsel with other GDPR compliance, privacy and legal matters.

Finance & Authorities

  • Assist with maintenance of bank lending, mortgages, charges, loan notes, and other credit facilities.
  • Develop and maintain parent company guarantees register.
  • Support the legal team with intra-group financial and other arrangements.

Administrative Support

  • Manage legal post and scanning.
  • Handle penalties and fines queries.
  • Maintain letterheads and trading disclosures.

The Successful Applicant

Skills & Experience:

  • Previous experience as a Legal Assistant or Paralegal in an in-house environment.
  • Understanding of contracts cycle, compliance, and governance.
  • Must have worked extensively with Diligent software
  • Excellent organisational and communication skills.
  • Ability to work autonomously and manage competing priorities.
