Reporting directly to the Managing Director, you will play a key role in supporting business operations, improving processes and helping maintain the high standards expected within a regulated healthcare environment.

Job Description

My client is a growing and highly specialised medical devices business looking for an experienced and hands-on Operations & Business Support Manager to oversee the smooth day-to-day running of our UK office.

The RoleYou will be responsible for managing the company's back-office operations and ensuring compliance with financial, legal and operational requirements, including maintaining ISO 9001:2015 standards.

You will also support and supervise a small administrative team while acting as a central point of coordination across the business.

Key ResponsibilitiesOperations & Business Support

  • Oversee the day-to-day operational running of the office
  • Develop, review and implement company policies and procedures
  • Support business improvement projects and operational efficiencies
  • Coordinate facilities management, office maintenance and site security
  • Liaise with external suppliers, contractors and service providers



Human Resources

  • Support the full employee lifecycle including recruitment, onboarding and leavers
  • Prepare contracts of employment and employee documentation
  • Provide HR administration and maintain employee records using SAGE HR
  • Support employee relations matters and advise on employment legislation
  • Coordinate training, appraisals and workforce planning
  • Manage employee benefits, pensions and wellbeing administration



Finance & Administration

  • Manage weekly bank payments and invoice processing
  • Liaise with outsourced accountants and payroll providers
  • Support payroll review and pensions administration
  • Maintain company records, asset registers and purchase approvals
  • Assist with budgeting and cost control activities



IT & Systems Coordination

  • Liaise with outsourced IT providers to ensure systems run effectively
  • Coordinate hardware/software purchasing and system upgrades
  • Support telephony, mobile devices and office technology
  • Assist with IT projects and cyber security initiatives



Quality & Compliance

  • Maintain and manage ISO 9001:2015 processes and documentation
  • Coordinate internal audits and external audit preparation
  • Monitor regulatory and legislative changes
  • Support compliance, health & safety and business continuity planning



Team Management

  • Supervise and support two administrative team members
  • Conduct appraisals, coaching and performance reviews
  • Identify training and development needs

Skills & Experience

  • Previous experience in operations, office management, HR or business support
  • Experience working within a regulated or quality-driven environment is advantageous
  • Understanding of HR processes and employment legislation
  • Financial administration experience
  • Strong IT and systems skills
  • Experience supporting ISO 9001 or quality management systems would be beneficial
  • Excellent written and verbal communication skills
