Job Description

Admin Assistant job responsibilities:

  • Liaising with Suppliers to obtain quotes for work to be carried out in relation to Administration activities.
  • Overseeing and enforcing the internal governance process for vendor onboarding including managing the vendor risk assessment, contract management and reporting processes.
  • Support the governance and oversight of London Branch's Nota Technica & proposal processes to ensure the quality of the submission, appropriate authority is obtained and reporting.
  • Support the invoice management process by ensuring all invoices are viable, within expectation and pre-approved/authorised prior to payment, and conduct reconciliations - invoice reconciliations, suspense account, company expenses.
  • Contacting vendors for supplies & identifying the best provider.
  • Providing support at the event both client facing and behind the scenes.
  • Support the Admin & Projects Manager at the Staff Events Committee & in the preparation and running of staff events.
  • Be the main contact for the switchboard.



The Successful Applicant

A successful Admin Assistant should have:

  • Previous experience in Communication & Administration or similar role.
  • Strong organisational and multitasking skills.
  • Knowledge of Microsoft Office: Word, Excel, Power Point, SISBB, Flexcube/SWIFT, UNIBB, Design software: photoshop, In Design.
  • Excellent written and verbal communication skills.
  • A proactive and detail-oriented approach to work.
