Job Description

You will:

  • Provide high‑level Executive Assistant support to senior leaders, including complex diary management, meeting coordination, inbox management, and travel arrangements
  • Act as a trusted gatekeeper, handling confidential information with discretion and professionalism
  • Oversee the day‑to‑day running of the London office, ensuring smooth operations and a professional working environment
  • Manage relationships with external suppliers and service providers, including facilities, IT, and office vendors
  • Coordinate internal meetings, prepare agendas and materials, and support follow‑up actions
  • Support communication with German‑speaking stakeholders, including colleagues in Germany and wider European teams
  • Assist with onboarding/offboarding, office processes, and internal administration
  • Handle expenses, invoices, contract administration, and general office reporting
  • Support events, visitor management, and ad‑hoc projects as required



The Successful Applicant

A successful EA and Office Manager should have:

  • Proven experience in executive support and office management roles.
  • Strong organisational and multitasking abilities.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Excellent written and verbal communication skills.
  • Confidence in liaising with stakeholders at all levels.



The successful applicant will have:

  • Proven experience in an Office Manager and/or Executive Assistant role, supporting senior stakeholders
  • Fluent German and English, with confidence communicating with stakeholders across regions
  • Strong organisational skills, with the ability to manage multiple priorities in a fast‑paced environment
  • Excellent attention to detail and a high level of discretion when handling confidential matters
  • A proactive, adaptable approach with a willingness to take ownership and support the wider business
  • Strong IT skills and confidence using office systems and technology
  • Experience working in a professional services or financial services environment (preferred)
