Job Description

The PMO Analyst supports the day-to-day operation of the IT PMO, providing accurate data, reporting, and administrative support that keeps the project and programme portfolio running smoothly. They will be providing project governance, planning tools, and portfolio reporting under the guidance of the PMO Manager. The PMO Analyst plays a key role in ensuring the integrity of PMO data and the consistency of information flowing to project teams and senior leaders.

  • Maintain and update project trackers, RAID logs, action registers, and milestone schedules - ensuring information is accurate, complete, and up to date.
  • Produce routine status reports and portfolio dashboards - collating data from project teams and formatting for governance and leadership audiences.
  • Support project financial tracking - maintaining records of actuals and forecasts, and flagging discrepancies to the PMO Manager.
  • Schedule and coordinate PMO meetings and governance forums - preparing agendas, capturing actions, and chasing follow-ups to ensure decisions are recorded and progressed.
  • Support the onboarding of new projects into the PMO toolset - setting up project workspaces, templates, and registers in line with PMO standards.
  • Assist with resource and capacity data - gathering utilisation information from project teams to support the Demand Manager and PMO Manager.
  • Contribute to continuous improvement of PMO processes - identifying errors, inconsistencies, or inefficiencies and raising them with the PMO Manager.

The Successful Applicant

A successful PMO Analyst should have:

  • Degree-level education or equivalent experience. A project support or PMO qualification (e.g. PRINCE2 Foundation, APM PFQ, or equivalent) is desirable or in progress.
  • The PMO Analyst works on tasks that are clearly defined, following established procedures and templates set by the PMO Manager. Work is closely supervised and reviewed for accuracy and completeness.
  • Day-to-day decisions are limited to data entry, scheduling, and routine report formatting. Any issues, discrepancies, or requests outside normal scope are escalated promptly to the PMO Manager.
  • The PMO Analyst contributes to the accuracy and timeliness of portfolio information used by project teams and senior leaders. Errors in data or reporting could cause misinformed decisions at a project or programme level.
